What are the terms and conditions?
Booking and Deposits
- Deposit requirements: A partial down payment (usually 20% to 50% of land arrangements) is needed to confirm a booking.
- Permits and tickets: Full payment is normally required upfront and is strictly non-refundable for specialized activities like gorilla and chimpanzee tracking permits, plus domestic or international flight tickets.
- Final balance: The remaining tour balance is generally due 4 weeks prior to arrival in Uganda.
Cancellations and Refunds
- Written notice: All cancellation requests must be submitted in writing by the client.
- Sliding scale fees: Cancellations made close to the departure date incur heavy penalties (21 days to 8 days prior may cost a 90% fee, while 7 days or less usually results in a 100% forfeiture of funds).
- No-shows: No refunds are issued for missed departures, unused hotel rooms, or abandoned safari segments.
Client Responsibilities and Health
- Travel documents: Clients must hold a passport valid for at least 6 months, obtain necessary entry visas, and secure proper travel insurance.
- Mandatory vaccinations: Travelers must carry a valid Yellow Fever vaccination certificate as required for entry and compliance with local health regulations.
- Park conduct: Clients must follow safety instructions given by guides and adhere strictly to Uganda Wildlife Authority rules inside national parks.
Limitation of Liability and Force Majeure
- Third-party suppliers: The agency acts as an intermediary for independent lodges, airlines, and transport providers, and is not directly liable for supplier failures.
- Inherent risks: Adventure travel and safaris involve personal risk; the company is not liable for injury, loss of life, or property damage unless proven via direct gross negligence.
- Unforeseen events: The agency holds no liability for tour alterations or cancellations caused by force majeure events, including war, civil unrest, severe weather, or sudden mechanical breakdowns.
